Background Information: New Day Advocacy Center (NDAC) is a private nonprofit whose mission is working with others to end the cycle of sexual and domestic abuse and human trafficking. NDAC’s service area covers Ashland and Bayfield Counties, including the tribal lands of the Bad River and Red Cliff Bands of the Lake Superior Tribe of Chippewa Indians. NDAC is part of the Northern Four group, which is comprised of four domestic violence/sexual assault agencies that have a common service area. NDAC staff is trained to practice non-oppression and is a trauma-informed agency by policy and training. Trauma-informed care enhances Advocates’ understanding of how trauma affects clients’ stress levels, behaviors, healing, and clients’ responses to Advocate efforts on clients’ behalf. NDAC also supports clients who decide to return to or stay with their perpetrator.
Staff receives professional trainings via End Domestic Abuse WI, Wisconsin Coalition Against Sexual Assault, and Disability Rights Wisconsin, as well as other professional organizations. NDAC has established strong collaborative relationships with law enforcement, judicial systems, human services agencies, medical and mental health agencies, emergency room staff, and Probation and Parole. This has resulted in receiving increased client referrals and working on productive partnership solutions for victims and holding perpetrators accountable. We also work with agencies that provide companion services, i.e., food security, housing, and employment preparation.
In September 2019, after two years of renovations, NDAC moved into a larger facility, and expanded from three bedrooms (able to sleep 10) to seven bedrooms (able to sleep 28). All seven bedrooms were occupied for the first time on December 24, 2019. Our staff consists of nine full time employees and eight part time employees. As essential workers, we are continuing to provide most services during the COVID-19 pandemic.

- Maintain and update Personnel Policies manual.

- Fundraising:
- Oversee the development of all existing government, foundation, and other grant proposals annually. Seek out new grant opportunities from the government, foundations, philanthropists, and other appropriate sources in collaboration with the Grant Writer/Assistant Director.
- Prepare and present proposals for county and city funding.
- Develop local sources of funding.
- Fiscal Management:
- Develop, implement, and enforce sound financial procedures and dual controls.
- Perform specified financial procedures to contribute to the achievement of dual control processes, and ensure all dual controls in all financial matters are followed.
- Ensure that all financial records and journals are accurate.
- Follow GAAP (General Accepted Accounting Principles) in the development and implementation of policies and procedures.
- Develop annual budget in collaboration with the Grant Writer/Assistant Director and Accounting Specialist and present to the Board of Directors for approval. Manage agency within the scope of the approved budget and report to the Board of Directors at regular meetings or more frequently if needed or requested.
- Co-authorize, with Board officer, expenditures over $5,000.
- Oversee the submittal of required financial reports or financial information to funders.
- Provide financial reports to the Board of Directors with the assistance and support of the Accounting Specialist and Board Treasurer.
- Prepare for and coordinate required audits with professional accountant, Accounting Specialist and Board Treasurer as needed.
- Maintain and update Financial Procedures Manual.
- Client Services:
- Ensure funder requirements are included in agency’s staff policies and procedures.
- Supervise and train staff in performance of client services.
- Maintain and update Client Services Processes Manual, Shelter Resident Manual and Client forms
- Be accessible to staff as a resource person for decisions about unusual client requests or situations.
- Meet with clients to resolve issues as needed and in conjunction with responding to client-submitted grievances.
- Public Relations/Community Education:
- Provide in-service training or education to the community.
- Arrange for advertising of services in local newspapers, on radio, in brochures, or in other media.
- Maintain contacts with referral sources in the community.
- Represent the agency at various events, meetings, and agency fundraising activities.
- Board Responsibilities:
- Serve as ex-officio Board member.
- Assist Board President in the orientation of new board members.
- Recruit and maintain board membership.
- Report agency activities and financial status.
- Serve as an ex-officio member on all committees and act as a resource person to all board committees; may attend all meetings.
- Provide for training of board members regarding the Mission Statement, board responsibilities and expectations.
- Maintain and update Board By-Laws and Board Policies & Procedures Manual
Qualifications:
- Bachelor’s degree or equivalent combination of education and experience in management, business, human resources, human services, or related field. Experience in a management/supervisory position required.
- Required: 2-3 years of work experience in a non-profit/human services organization or related work situation.
- Strongly Preferred: Some experience with accounting procedures/payroll function in a non-profit organization that has multiple grants/funding sources.
- Proficient computer and keyboarding skills: Ability to use word processing, email, spreadsheets, and accounting applications. Microsoft Office (Word, Excel), Google Suite Software (email, Google Docs), ZOOM. Helpful: Microsoft OneNote.
- Writing Skills: Need above average writing, spelling and punctuation skills with ability to meet detailed funder requirements to write successful grant requests, reports, personnel policies, procedure manuals, job descriptions, and routine agency business correspondence.
- Language Skills: Ability to read, analyze, interpret, and implement the terms, requirements and expectations of grant requests and contracts, and other business documents pertinent to agency business.
- Math Skills: Needs well-developed basic math skills. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Reasoning Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

- Administration:
- Write and administer federal, state, county, city, private foundation and other types of grants; and prepare and submit the required grant reports in accordance with grant report deadlines.
- Consult with the Lead Advocate to gather information about client service needs, advocate collaboration accomplishments, etc. for formulating responses to grant writing requirements.
- Consult with the Accounting Specialist to gather appropriate financial information to satisfy grant writing requirements.
- Consult with Executive Director for grant input and final approval of grants and grant reports before submission.
- Serve as the lead on agency development and use of the Management Information System.
- Develop and implement data collection systems to streamline reporting on outputs and outcomes in all program areas for use in grant writing and grant reporting to funders, reporting to the Board, the community, etc.
- Manage program aspects of the annual budget in conjunction with the Executive Director.
- Manage the agency Volunteer Program.
- Financial Management:
- Participate in three person dual control processes established by the Board of Directors, published in the Financial Procedures Manual, and performed in conjunction with the Executive Director and the Accounting Specialist.
- Program Management:
- Measure performance and improve quality of services in all agency programs and all facets of agency operations.
- Create ongoing opportunities for all staff members to provide feedback on program operations.
- Inform the Executive Director (and other staff members and Board of Directors as advisable) of program issues, changes, and accomplishments.
- Operations Management:
- Improve efficiency and effectiveness of all internal operations.
- Manage information technology, including ongoing maintenance and updating of systems, hardware, and software.
- Oversee building maintenance by contracting services and repairs as needed.
- Be responsible for all aspects of rental property.
- Community Partnerships
- Strengthen relationships with other service providers to improve service delivery to clients.
- Serve on community committees and boards as directed by the Executive Director.
- In collaboration with the Executive Director, provide staff support and guidance to the Board of Directors and serve as ex-offico member to subcommittees of the Board.
- Provide programmatic input to the Executive Director in strategic planning.
